Refund and Returns Policy

💸 Refund, Cancellations & Penalties Policy – Intelli Brand AI

1. General Policy on Refunds

Due to the customized, service-based, and digital nature of our work, all sales are final and non-refundable once a project has commenced or a subscription period has started.

We do not provide refunds for:

• Completed deliverables, consulting sessions, or AI configuration

• Time-based services already rendered (e.g., strategy calls, project management, or design hours)

• Subscription cycles (monthly/yearly) that have already started

• Client-side delays, missed deadlines, or inactive communication

We reserve the right to retain up to 100% of payments made depending on the progress of the service at the time of cancellation.

2. Payment Conditions & Milestones

• Unless otherwise agreed, full payment is required before any project begins.

• For larger projects, a 70% upfront / 30% upon delivery split may be negotiated.

• Final deliverables will only be released after full payment is received.

• Invoices not paid on time are subject to 2% monthly interest and possible work stoppage.

3. Project Cancellations & Work Pauses

Cancellation requests must be submitted in writing to legal@intellibrandai.com.

• If cancellation occurs before any work has begun, we may issue a partial refund minus administrative fees.

• If work has already started, no refund is guaranteed, and partial fees may be retained to cover completed work and resource allocation.

• Projects paused for more than 14 calendar days without client response may incur a reactivation fee or be considered abandoned with no refund issued.

4. Extra Time, Revisions, and Scope Extensions

Our service pricing includes a reasonable time allowance and a fixed number of revisions (as outlined in your proposal or SOW).

The following will incur additional charges:

• Requests exceeding the agreed revision rounds or scope

• Urgent delivery outside of agreed timelines

• Client-caused delays that force project timelines to be extended

• New features, designs, or platform integrations not included in the original agreement

• Extra training, meetings, or change requests not budgeted in the quote

Additional charges are calculated hourly or as add-on packages, and will be invoiced prior to delivery of the extra work.

5. Penalties for Client Delays or Non-Cooperation

To maintain fair workflow and resource planning, the following penalties may apply:

• Delayed Client Response: Any delay in providing feedback, approvals, access, or materials beyond 3 business days may result in a daily penalty fee or project pause.

• Missed Deadlines: Repeatedly missed deadlines or meeting no-shows (without prior notice) may incur a $150–$500 CAD fee per occurrence.

• Scope Violations: If you attempt to expand the project beyond agreed scope without approval, the project may be paused or terminated with fees retained.

We reserve the right to terminate the project or service if the client fails to cooperate or significantly alters the project direction after kickoff.

6. Exceptions and Dispute Resolution

Refunds or adjustments may be considered if:

• A clear and documented service failure occurs due solely to negligence by Intelli Brand AI and cannot be resolved.

• Duplicate payments or billing errors are proven and submitted for review within 7 business days.

Approved refund amounts will be processed within 10 business days to the original payment method.

All complaints or disputes must be submitted in writing to legal@intellibrandai.com, subject to review under our dispute resolution process.

7. Your Agreement as a Client

By initiating a service, submitting payment, or signing a proposal with Intelli Brand AI, you acknowledge and accept this Refund, Penalties, and Cancellation Policy in full. This policy is legally binding and enforceable under the applicable laws of Ontario, Canada and relevant U.S. jurisdictions.
